Conversion: Upon election or conversion of existing VCU employees to the University and Academic Professionals employee group, existing annual, sick, personal and family leave balances are credited toward accrual rates under this section. However, sick leave balances for employees in the traditional sick leave program are preserved in a separate “bank” for future use. The traditional sick leave bank may be used for absences in excess of five work days for serious illness, injury or catastrophic or major chronic conditions which prevent the employee from performing the full duties of their position.
Opting into the Great Place HR plan: Employees who elect to become University and Academic Professionals will:
- Carry forward any unused leave from their current plan (annual, sick, personal and family if in Virginia Sickness and Disability Program, or annual leave if in the Traditional Sick Leave Plan). Traditional sick leave will be banked for future use.
- Receive a pro-rated allocation of university leave based on the month they enter the new plan. The amount of new leave received will be based on current years of service. The employee will be granted the pro-rated leave amount up front. The employee does not have to wait until January 10th, the beginning of the new leave year, to accrue leave at a higher rate.
- Leave for university employees is administered based on employee’s current leave plan. Employees who transition to university employee status with an active leave claim will remain on the leave plan under which the claim began. Employees will not be eligible for additional benefits related to their current claim when they transition into the new plan.

Disability credits - former A&P Faculty only: The university leave plan does not impact disability credits. Employees with disability credits will have their balances maintained for future use. The disability credits may be used to supplement income replacement for absences under the Virginia Sickness and Disability Program (VSDP). Unused disability credits are not payable upon separation. Employees may opt to convert disability credits to additional Virginia Retirement System (VRS) Service credits upon separation from state employment. Unused disability credits for employees who transfer to another VSDP covered position outside of VCU may be transferred to the agency where the new position is located.
Disability credits - former Classified Employees only: The university leave plan does not impact disability credits. Employees with disability credits will have their balances maintained for future use. The disability credits may be used for absences to supplement income replacement for absences approved under the Virginia Sickness and Disability Program (VSDP). Twenty-five percent (25%) of any unused disability credits will be paid out upon separation up to a maximum of $5,000. Employees may opt to convert disability credits to additional VRS Service credits, in lieu of payment. Unused disability credits for employees who transfer to another VSDP-covered position outside of VCU are transferred to the agency where the new position is located, and not paid out by VCU.
